Job Title: Process Supervisor, Motor Vehicle Registration Project  

Position Type: Local Contract

Reports to: Process Manager, Motor Vehicle Registration Project

Supervises: Process Officers

Job Purpose: Develop and implement motor vehicle registration, client transaction plan, schedule, and assign personnel to ensure completeness of motor vehicle registration records while ensuring legal compliance of all motor vehicle registration. Monitor motor vehicle registration transaction progress, resolve motor vehicle registration related problems and report results of the motor vehicle registration process flow. The role is responsible for client service support geared towards creating MVR service awareness and improving service delivery to clients to enhance voluntary compliance.

 Key Duties:

  • Supervise the process officers to ensure assigned tasks are completed as agreed.
  • Ensure the daily smooth operations of motor vehicle registration operations.
  • Manage external correspondence that might arise as assigned by the head of section
  • Prepare weekly, monthly, and quarterly performance reports
  • Supervise, regulate, and monitor proper use of systems used by the process officers
  • Ensure provision of credible and reliable motor vehicle registration database
  • Ensure post registration motor vehicle transactions are handled within specified time
  • Achieve set financial weekly, monthly, and quarterly targets.
  • Collaborate and manage the motor vehicle registration process alongside the key stake holders.
  • Monitor and evaluate workflow processes
  • Lead a cross-functional team to identify customer satisfaction and operational key performance indicators and create an executive KPI dashboard.
  • Manage day-to-day operations of MVR services at the facility including coaching and supporting Process Officers to adhere to project standard operating procedures
  • Develop, support and execute investigations to resolve rising issues that compromise service quality.
  • Provide solutions to improve efficiency in the MVR systems.
  • Provide feedback and initiate performance improvement plan for Process Officers
  • Ensure compliance with motor vehicle registration standards.
  • Any other duties that may be assigned from time to time.

 Person Specifications:

Essential Requirements
  • A Master’s degree in business administration, Transport Management, IT, or any other relevant field
  • Extensive knowledge of process improvement and enhancement
  • A minimum of 3 years’ experience in a similar role, preferably in the service industry.
  • Ability to write reports legibly and accurately
Desirable Requirements
  • Knowledge of all MoWT laws, policies and procedures and ability to comprehend and interpret them.
  • Proven experience working in a supervisory role in the Service industry.
  • Flexible to work long hours as required to meet project deadlines
  • Ability to create and adhere to production processes
